Privacy policy
This is a small, one-person wedding photography business. The short version: I collect what I need to answer your inquiry and photograph your day, I do not sell anything to anyone, and you can ask me to delete your information at any time.

Who this covers
Maclean Photo + Video ("I", "me") is operated by Scott Maclean and serves Kelowna and the Okanagan, British Columbia. This policy applies to macleanphotovideo.com and to the client records I keep when you book. I am the person to contact about any of it: macleanphotovideo@gmail.com.
What I collect
When you send an inquiry
The contact form asks for your name, email address, and phone number, and optionally your wedding date, location or venue, the collection you are interested in, and your message. Those go to my own booking system, hosted on Cloudflare. Alongside them I store how you found the site — the page you first landed on, the site that referred you, and any campaign tags or Facebook click identifier in the link you clicked. That is kept for up to 30 days on your own device (in your browser's local storage) before it is attached to an inquiry, so I can tell which ad or search introduced us.
When you book
Your contract details, event timeline, venue and vendor information, invoices, and payment records. Payments are handled by Stripe — card numbers go directly to Stripe and I never see or store them.
Automatically, when you browse
Standard web-server information such as your IP address, browser and device type, the pages you view, and the site you arrived from. My host, Cloudflare, also collects this to serve and protect the site.
Advertising: the Meta pixel
I advertise on Facebook and Instagram, and this site loads the Meta pixel on every page. It records that a browser visited a page — and, when an inquiry is sent, that a lead happened — and reports it to Meta Platforms Ireland Ltd. and Meta Platforms, Inc. Meta may match that activity to a Facebook or Instagram account and uses it to measure whether my ads are working and to show my ads to people with similar interests.
The pixel does not receive your name, email, or the contents of your message. If you would rather not be included, you can turn off data about your off-Facebook activity in your Meta ad preferences, block the pixel with a tracker-blocking browser or extension, or clear your browser's site data for this site.
There is no Google Analytics, no advertising network beyond Meta, and no third-party remarketing on this site.
Why I use it
- To reply to your inquiry, answer questions, and send a quote
- To plan and deliver the photography and videography you book
- To send contracts, invoices, and receipts
- To understand which ads and pages actually bring couples to me, so I do not waste money on the ones that do not
- To keep the records Canadian tax law requires me to keep
I do not sell, rent, or trade your personal information, and I do not send marketing emails to people who have not asked for them.
Your photographs
Your wedding photos are personal information too. With your permission — set out in your booking contract — I may show images from your day in my portfolio, on this website, and on social media. You can decline that at the outset, or withdraw it later by emailing me, and I will take the images down. See image licensing for what you and your vendors may do with the photos.
Who else sees it
Only the services that help me run the business, and only so they can provide that service to me:
- Cloudflare — website hosting, security, and the booking system's database
- Stripe — invoicing and card payments
- Google (Gmail) — my email
- Meta — advertising measurement, as described above
Some of these providers store data on servers outside Canada, including in the United States, where it may be accessible to foreign courts and law enforcement. Beyond these, I share information only where the law requires it.
How long I keep it
Inquiries that do not turn into bookings are kept for up to two years, in case you come back. Client records, contracts, and invoices are kept for seven years, as required for Canadian tax and business records. Delivered galleries are archived long-term so you can come back for files years later — tell me if you would rather I did not.
Security
The site and the booking system are served over HTTPS, the database is access-controlled, and payment details never touch my systems. No system is perfect, but your information is not sitting in a spreadsheet on a laptop.
Your rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act, you may:
- Ask what personal information I hold about you and get a copy of it
- Ask me to correct anything that is wrong
- Ask me to delete it, except where I am legally required to keep it
- Withdraw your consent to the use of your images
- Ask a question or make a complaint about how I have handled it
Email macleanphotovideo@gmail.com and I will respond within 30 days. If you are not satisfied with my answer, you can contact the Office of the Privacy Commissioner of Canada.
Cookies and similar technologies
This site uses local storage to remember how you found it, and the Meta pixel sets cookies for advertising measurement. You can block or clear both in your browser settings; nothing on the site stops working if you do.
Children
This site and my services are not directed at children, and I do not knowingly collect personal information from anyone under 13.
Changes to this policy
If I change how I handle your information, I will update this page and the date at the top. Material changes affecting current clients will be emailed.
